Privacy notice
How we use personal data.
This notice explains what personal data Geekwork collects, why, and what your rights are. It covers our clients and people who get in touch with us, and people at businesses we contact because we think our services may be useful to them.
Last updated 26 October 2026.
Who we are
Geekwork is a trading name of Vanguard Edtech Ltd, registered in England and Wales, company number 16841118.
Vanguard Edtech Ltd is the controller of the personal data described here. For anything about this notice or your data, email hello@geekwork.co.uk.
If we have contacted you about our services
We get in touch, by email, on LinkedIn or by post, with owners and senior people at UK businesses that we think could use our services: software development, support for existing systems, technology assessments and technology leadership. We contact people in their business role, about their business. We do not contact consumers, sole traders or partnerships this way.
What we hold: your name, job title, business email address, business postal address and phone number, LinkedIn profile, the name and details of your organisation, a short note of why we thought our services might be relevant, and a record of our messages and any reply.
Where it comes from: public sources, including Companies House, your organisation's website, job advertisements and business networking sites such as LinkedIn, and providers of business contact data.
Why we use it: to offer our services to businesses that are likely to need them. Our lawful basis is legitimate interests. We have weighed our interest in finding new clients against your interests: we use only business details, contact you about your work, keep messages to a minimum and make it easy to stop.
How to stop it: reply to any message from us with "no thanks", or email hello@geekwork.co.uk. We will not contact you again. We keep your email address or LinkedIn profile on a list of people not to contact, so that it stays that way.
Adverts on LinkedIn: we may show adverts on LinkedIn to people who work at businesses we think could use our services. We give LinkedIn a list of company names only, never anyone's personal details. LinkedIn decides who sees the adverts using its own data, under its own privacy policy, and you can change your advertising settings in your LinkedIn account.
If you are a client or get in touch with us
We hold the contact details of the people we work with or who contact us, our correspondence with them, and the records needed to provide our services, invoice and keep our accounts.
- To answer your enquiry or set up a call: legitimate interests, or steps you have asked us to take before a contract.
- To deliver and support our services: to perform our contract with you or your organisation, and our legitimate interest in working with the people at our clients.
- To keep business and tax records: legal obligation.
Where we build or support a system that holds personal data on behalf of a client, the client is responsible for that data and we act on its instructions under our contract. This notice doesn't cover that data; the client's own privacy notice does.
This website
Apart from the chat and the game's high score table described below, this website has no forms, and it has no analytics or advertising and sets no tracking cookies. Our hosting provider sets one strictly necessary cookie, which sends each visit to the same server, and keeps standard server logs (such as IP address, pages requested and browser type) for security and to keep the site running.
The chat. If you use the "Ask us a question" chat, we record what you write and the replies, the page you were on and when, and any name, email address or phone number you choose to give. When the chat ends, or after an hour with no new message, a copy is emailed to us so we can read it and reply if you asked us to. Replies are written by an AI model, Claude, provided by Anthropic, using only the content of this website. To stop the chat being misused, we count messages from each IP address per day; we store only a scrambled form of the address that changes daily, never the address itself. Your browser keeps the conversation in session storage until you close the tab, so it follows you between pages; this isn't a cookie and isn't used to track you. Our lawful basis is legitimate interests: answering questions from people interested in our services and following up when they ask us to. Please don't share sensitive personal information in the chat.
The game. The game on our Hello, world page has a high score table that everyone who plays can see. If your score is good enough and you choose to put it on the table, we store the three initials you enter, your score and when you played, and show them to other players. Use initials that don't identify you if you prefer. Your IP address is used only briefly, in memory, to stop anyone flooding the table; it isn't stored. Our lawful basis is legitimate interests: running the game you chose to play.
Who we share it with
We don't sell personal data. We share it only with the service providers who help us run the business, under contracts that require them to protect it:
- email, calendar and file storage providers;
- the service we use to send and manage emails to businesses, and business contact data providers;
- LinkedIn, when we contact you or advertise there;
- our website hosting provider (Microsoft Azure), which also stores chat records and the game's high score table, and sends us the chat emails;
- Anthropic, which provides the AI that answers chat messages, and processes them only to write the replies;
- our accountants and accounting software provider;
- professional advisers, and authorities such as HMRC where the law requires it.
Some of these providers may process data outside the UK. Where they do, we make sure there is protection in place that UK law accepts, such as a UK adequacy decision or the UK's approved data transfer agreement.
How long we keep it
| Data | How long |
|---|---|
| Business contacts we have approached who haven't replied | Deleted within 6 months of our last message |
| The list of people who have asked not to be contacted | For as long as we contact businesses, so we can honour the request (email address only) |
| Chat records on our chat system | Deleted 90 days after the chat ends (the emailed copy is kept as an enquiry, below) |
| Initials and scores on the game's high score table | For as long as the game runs; email us to have yours removed |
| Enquiries and conversations that don't lead to work | 2 years from the last contact |
| Client contacts, contracts and project records | For the length of the relationship, then 6 years |
| Accounting and tax records | 6 years from the end of the financial year they relate to |
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct it, or to delete it;
- object to us using it, or ask us to restrict how we use it;
- ask for data you gave us to be passed to another organisation, where that applies.
You can object to direct marketing at any time, and we will always stop. To use any of these rights, email hello@geekwork.co.uk. We will reply within one month.
Complaints
If you are unhappy with how we have used your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
We will update this notice if the way we use personal data changes. The date at the top shows when it was last changed.
